Leatherby Libraries Thesis/Dissertation Submission Guidelines
Theses and dissertations completed in partial fulfillment for an advanced degree (e.g., Master’s or Doctorate) will be made available in print to the public in the Leatherby Libraries with an option to place them in the ProQuest database Dissertation and Theses Full-Text, which is published by UMI (University Microfilms Inc., a subsidiary or ProQuest.) Consult your specific departments directly regarding their specific binding requirements including the number of additional copies for the department.
Binding Policy for Print Submission of Thesis/Dissertation
- Thesis/dissertations will be bound as they are received. They must include a Title and Signature Pagefor each copy. The library will not accommodate additional photocopy needs.
- Students will be billed for the binding of departmental and personal copies.
- There is no limit on the number of thesis/dissertations to be bound for a student’s personal use.
Format Requirement
Individual departments may establish their own style guidelines for thesis/dissertation, but the following are required for proper binding:
- Title and signature pages must be included for each copy
- Left margins shall not be less than 1.5 inches (to insure readability when bound).
- All deposited copies must be printed or copied onto 25 pound or heavier paper.
Steps for Submission of Print Thesis/Dissertation for Binding
- The student completes his/her thesis or dissertation and obtains the required signatures, as determined by the department
- The student downloads a Thesis/Dissertation Binding Form and fills it out.
- The student pays the total fees listed on the form at the University Cashier’s Office.
- The student submits the Thesis/Dissertation Binding Form and the corresponding number of original copies along with a copy of the receipt from the Cashier’s office at the Serials Department located in the Leatherby Libraries Room #128. (Make sure to follow Format Requirements)
- Once the copies have been received, the binding process will be initiated. Bindery completion will take approximately 8-10 weeks. Upon completion, the student will be contacted by phone and arrangements for pick-up or delivery will be made if personal copies are involved.
- When the thesis comes back from the bindery, the library copy will be cataloged, and the other copies will be distributed to the department (if required) and the student per the Thesis/Dissertation Binding Form.

Online Submission for Digitization (Optional)
- Students are required to work with their departments and use the title and signature page format designated by the department. If that format is not readily available, there are suggested samples of a Title Page (Appendix I) and a Signature Page (Appendix II) in this document.
- When the thesis/dissertation has met final approval by the department and university, the student will go to the following web site, set up an account, and submit a PDF formatted copy of the paper to ProQuest for online digitization: http://dissertations.umi.com
- The student will follow the instructions at the ProQuest UMI web site to submit the paper and make payment at that time using a credit card.
- After the student successfully submits the paper, it will be forwarded by ProQuest to the specified administrator in the Leatherby Libraries for final approval.
- Once the administrator has given final approval, the document will be sent to UMI for digitization.
It is the responsibility of the student to follow the guidelines outlined below when submitting his/her Thesis/Dissertation to UMI for digitization. Payment to UMI must also be made at this time with the use of a credit card. All theses and dissertations sent to UMI for digitization will be preserved on archival quality microfilm and stored in UMI vaults. The Library of Congress recognizes ProQuest/UMI as an official repository for United States theses and dissertations.
